public/docs/images/deployment-view.pngHow to see your plan and invoices, how to pay, and what happens if an invoice is late. This applies only if your organization has been put on a plan; an organization without a plan is never billed or limited.
Signing up yourself
If the platform has opened self-service signup, the Pricing page lists the plans you can choose. Pick a plan (monthly or annual), create your account and verify your email, then name your organization on the Start page. Your organization is created straight away, but you cannot add servers, projects or environments until it opens.
- Paid plan: your first invoice is issued immediately. Pay it as described below; the organization opens when the payment is recorded. An invoice not paid within 14 days expires and you start again from the pricing page.
- Plan with a free trial, or a free plan: nothing to pay first; the organization opens at once.
- Waiting for approval: some platforms review every new customer by hand. Your payment is received, but you can create things only after our staff approve it. You are emailed when it opens, or told why it was not approved (any payment made is then refunded by our staff).
You can have one unfinished signup at a time, and up to 5 organizations created this way.
Where to find your plan and invoices
Open Settings → Billing. It is visible to your organization's Owners and Admins only. There you will see your plan, how much of it you are using (servers, projects and environments against the plan's limits), your invoices, and how to pay. Each invoice can be printed or saved as a PDF from your browser. Invoices still being prepared by our team (drafts) are not shown to you.
How to pay
- Bank transfer: pay using the bank details printed on the invoice and shown on the Billing page, quoting the invoice number. Then enter the transfer reference against the invoice on the Billing page.
- EVC Plus, Zaad or WAAFI: pay using the mobile-money details shown on the Billing page, then enter the transaction id against the invoice. Our staff check it and confirm it; the invoice is marked paid once they do. SPCBot does not check the reference with the mobile-money provider itself, so confirmation is by a person and is not instant. You can have up to 3 references waiting on one invoice, and a reference may use letters, digits and the characters
. : / # -. If a reference is rejected you will see the reason. - Card: if card payment is switched on for the platform, an open invoice shows a Pay by card button which takes you to a secure Stripe page. Your card details never reach SPCBot.
What the banner means
A banner appears when an invoice needs attention.
- Overdue: an invoice is past its due date but still inside the grace period. Nothing is restricted yet.
- New work paused: the grace period has ended and the invoice is still unpaid.
You will also get email: a notice 3 days before a free trial ends, the invoice itself, reminders 1 day and 7 days after the due date, and one notice when new work is paused.
What pauses and what never pauses
An unpaid invoice never stops, restarts or removes a running Odoo instance, its backups or its data. Deploys, backups and everything already running carry on.
The only effect of an unpaid invoice, once the grace period is over, is that creating new servers, projects and environments is refused (including cloning an environment and deploying a template, which create new ones). Separately, if you reach your plan's limit on servers, projects or environments, creating more is refused until you remove one or move to a bigger plan.
How to get unlocked
Pay the overdue invoice. Card payments lift the pause as soon as Stripe confirms. For a bank or mobile-money payment, submit the reference on the Billing page and our staff confirm it; the pause lifts when the invoice is marked paid. If you have paid and it has not been confirmed, contact us with your reference.
If the banner says new work is paused by our billing team, the block was set by hand and shows the reason. Contact us; it is lifted by our team, not automatically by a payment.
Who can see what
| Role | What they can do |
|---|---|
| Owner / Admin | See your organization's plan, usage and invoices; pay by card or submit a mobile-money or bank reference. |
| Developer / Viewer | See only the banner text, with no link to billing. |
Plans, invoices and payment confirmation are managed by the platform operator's staff, not by customers. You can only ever see your own organization's invoices.
